Privacy Policy

What nyx processes, why it needs each piece, how long it keeps it, and how to ask for deletion.

What We Collect

We only collect the Discord data needed to make nyx work - nothing extra.

nyx processes the minimum information required to run the bot, the control panel, ticketing, moderation tools, billing checks, and support workflows. Here is what that includes:

  • Discord IDs - your user ID, server (guild) IDs, channel IDs, role IDs, and message IDs
  • Profile info - usernames, display names, and avatars that Discord already makes public
  • Server settings - plugin configuration, anti-ping rules, ticket settings, and dashboard access roles
  • Ticket data - messages, closure reasons, and transcripts when your server has ticket features turned on
  • Login data - the session info needed to sign you into the nyx dashboard
  • Billing status - whether a premium subscription is active (we never see full card numbers)

How We Use It

Your data powers bot features, the dashboard, and billing - nothing else.

  • Save and apply your server-specific settings
  • Power moderation, anti-ping, ticketing, transcripts, and audit logs
  • Let you sign in and manage your servers from the dashboard

Message Content & Tickets

We only read messages when a feature you turned on requires it, like anti-ping or tickets.

nyx reads message content only when a feature you enabled needs it - for example, anti-ping detection, ticket conversations, moderation workflows, or transcript generation. If your server uses hosted ticket transcripts, nyx stores those conversations for a limited period and then deletes them. See section 7 for the exact retention periods and how to shorten them.

Dashboard Login

We use Discord OAuth to sign you in - no separate password needed.

When you sign into the dashboard via Discord, nyx receives your Discord ID, username, avatar, and (if Discord provides it) your email. This is used solely for authentication and determining which servers you can manage. No separate account or password is created.

Billing & Premium

Payments are handled by a third-party provider - we never see your full card number.

For premium features, nyx exchanges limited subscription and entitlement data with a third-party billing provider. nyx never stores your full payment card details - that is handled entirely by the payment processor.

Who Sees Your Data

We never sell your data. Here is every company that touches it.

nyx does not sell personal information and does not share it for advertising. These are the providers involved in running the service, and nothing else receives your data unless the law requires it:

  • Discord - the platform nyx runs on, and the source of every account and server identifier we hold
  • Railway - hosting, the PostgreSQL database, and the Redis cache. Our services run in their EU West region (Amsterdam, Netherlands)
  • Cloudflare - the network in front of nyx.cool and api.nyx.cool, which sees request metadata such as IP addresses
  • Autumn - subscription and entitlement handling for nyx+, which in turn uses a card processor. We never receive or store card numbers

How Long We Keep It

Concrete periods, not vague promises. Most things go when nyx leaves your server.

When nyx is removed from a server, everything recorded about that server is deleted: its settings, enabled plugins, ticket transcripts, close-time ratings, honeypot counts, saved embeds, and activity statistics. That deletion is immediate and automatic, not on request.

While nyx is in your server, these are the periods that apply:

  • Hosted ticket transcripts - 365 days by default. A server owner can shorten this to as little as 7 days in the dashboard under Tickets, Logging. Transcripts sent to your log channel as file attachments live on Discord, not with us
  • Server settings and plugin configuration - kept while nyx is in the server
  • Daily activity statistics - kept while nyx is in the server. Servers without nyx+ can view the last 7 days; nyx+ shows 30
  • Scheduled embed delivery records - 30 days
  • Dashboard sessions - 7 days, or until you sign out
  • Cached Discord data such as your server list, avatar, and display name - between 5 minutes and 1 hour, then re-fetched from Discord
  • API keys - until you revoke them
  • Enforcement records, meaning why a server was suspended for abuse - kept after removal, so that leaving and rejoining cannot erase the record

Deleting Your Data

You can request deletion of your data at any time by contacting us.

To request deletion of data nyx stores about you or your server, contact us using the details at the bottom of this page. We may ask for enough information to verify your identity and locate the relevant records.

Third Parties in Your Browser

None. No analytics, no trackers, no fonts loaded from anyone else.

Opening nyx.cool or api.nyx.cool sends requests to us and to nobody else. There is no analytics script, no advertising pixel, and no third-party font host, so no other company learns your IP address from visiting our pages. Fonts are served from our own domain for this reason.

Where Your Data Is Processed

Primarily the EU, though Discord is a US company and nyx runs on Discord.

Our database, cache, and services run in Railway's EU West region, in Amsterdam, the Netherlands. Cloudflare serves our sites from whichever of its locations is nearest to you. Discord itself is operated from the United States, so any data that originates on Discord, which is most of what nyx handles, has already been processed there before it reaches us.

Security

We use industry-standard protections, but no system is 100% secure.

nyx uses reasonable administrative and technical measures to protect the data it processes. No system is perfectly secure, so absolute security cannot be guaranteed, but we take it seriously.

We will update this page and the revision date whenever the policy changes.

This Privacy Policy may be updated from time to time. The current version will always be available on this page with the revision date shown above.
